How do I import/update the 2023 South African Public Holidays on my Leave Module?

Sage VIP Classic and Sage VIP Premier: This article outlines how to import the 2023 South African Public Holidays for *Leave Module users. The .CSV import file is included.

The 2023 Public Holiday dates can be imported into multiple companies. 

The Leave Module is an additional module available to users who have purchased it, allowing you to manage and record leave transactions and interfaces with Sage Self Service and PRemier ESS.

How to check if you are licensed for the Leave Module:

• Refer to the Main Menu on payroll, then click on Leave to determine if the functionality is available to you.
• Alternatively click to view the 'Licenced Modules' within your payroll system.

How to Import the RSA public holidays to the leave calendar (leave module only)

The following dates have been listed as 2023 Public Holidays at the time this article was created.

1 January: New Year’s Day

2 January: New Year’s Day observed **

* The dates on which Good Friday and Easter Sunday fall are determined according to the ecclesiastical moon. That varies each year but they fall at some point between late March and late April.

**The Public Holidays Act (Act No 36 of 1994 [PDF]) determines whenever any public holiday falls on a Sunday, the Monday following on it shall be a public holiday.

How to import the RSA Public Holidays for 2023:

• Save the RSA2023.csv file to your computer
• From the Main Menu, select Leave > Leave Calendar
• Select Copy Calendar > Import Calendar
• Type ‘2023’ under the Calendar Year, select 'Close' to select
• Under the ‘To Company’ block, select the companies to update, then select 'Close' to select
• Ensure that the ‘Selected’ column reflects as ‘Yes’, after entering the password
• Browse to the download location of your browser to locate the RSA2023.csv file and then ‘Import’

Important steps to follow once the calendar file was imported: 

• After importing the RSA2023.csv file, please exit the company.
• Access the payroll icon again, then select the “Sup Help” button. Choose to complete a rebuild on the VPCNTxxx file where xxx refers to the company number. 
• Ensure all users are logged out of the company. When asked to auto replace the file, choose ‘Yes’.
• If the rebuild is not completed, users may encounter “Sorry not authorized” messages on the payroll when accessing the Leave information or at other points on the payroll.
• Please ensure that the rebuild on the VPCNT file is completed. Complete this rebuild for all companies to which the RSA2023.csv file was imported to.
• Lastly, access the Leave Calendar in each company and verify that the Public Holidays reflect correctly.

NOTE: The 2023 public holidays above are subject to change should official changes be announced. It is the payroll administrators responsibility to ensure that the correct Public Holidays reflect on the Leave module.
