Cancel an approved leave transaction on Sage Self Service

How to cancel leave transactions previously approved in Sage Self Service for Sage VIP Premier and Sage VIP Classic.

Description

Approved leave transactions post to payroll and affect the employee’s due balance. To cancel a transaction, you must complete steps in Sage Self Service and your payroll software. The system term for cancelling a transaction is close.

Resolution

Close leave transaction in Self Service

  1. From the Main Menu, select Reports, then select Leave.
  2. Locate the transaction with status Approved and Closed by Admin.
  3. Click View, then select Close Transaction.
  4. Review the pop-up message and then click Close Transaction.
  5. Click Home to return to the landing page.

NOTE:

When you close a transaction, you won't be able to reverse it. The employee needs to apply for leave again. Transaction that synchronised and posted to the payroll, requires cancellation in payroll.


Cancel leave transaction in payroll

  1. Access your payroll company from the Company Listing screen.
  2. From the Main Menu, select Leave.
  3. Choose Employee Leave Information.
  4. Select the applicable employee and select Continue.
  5. Go to the Transactions tab.
  6. Select the leave transaction you closed in Self Service.
  7. Click Cancel Transaction.
  8. Click Yes to confirm. 
    • The leave days taken will credit back to the Leave Days Taken column.
  9. Click Close.
  10. Click Close to return to the Main Menu.

Synchronise leave balances

  1. From the Main Menu, go to Self Service, then select Sage Self Service.
  2. Choose Sync and Report.
  3. Click Sync next to Sync Leave Balances.
    • All leave balances synchronise with Self Service.
  4. Click Close to return to the Main Menu.

NOTE:

The employee can reapply for leave using the same date range, if required.
