Final backup when completing reconciliation submission

Create a backup after completing your submission to the South Africa Revenue Services (SARS) on Sage VIP Classic and Sage VIP Premier.

Employers need to keep records of their employees' remuneration, tax-deductible deductions and income tax reference numbers for five years when they submit their returns.

Keep your payroll data safe for the prescribed period for resubmissions and audit purposes.

1. Open your tax year end copy system.
2. Access any of your payroll companies on the Company Listing screen.
3. From the Main Menu, go to Utilities, then select Backup.
4. Choose Full System Backup or Data Files and Programs (Incl All Sub Folders).
5. Confirm the From Directory:
   • Displays the location of your tax copy system directory
6. Review the To Directory location:
   • Browse to the folder where you want to save the backup
   • Confirm the destination folder exists
     
     CAUTION:

     The directory path needs to display a drive letter otherwise your backup won't be successful. To resolve this issue: Set a mapped drive as a trusted site

   • Ensure there's sufficient space in the destination drive to save the backup file
   • The folder can't be within the system directory
   • Avoid spaces in the folder name
7. Review the Backup File Name:
   • The system automatically allocates a filename - we recommend keeping it
   • Add the word 'Final' to the backup filename
   • Avoid spaces in the backup filename
8. Click Continue.
9. An on-screen message will confirm the backup location. Select Yes to proceed.
10. A Command Prompt (CMD) will appear, indicating the backup process has started.
    Don’t close the screen or interrupt the process.
11. An on-screen message will confirm once the backup is successful.
12. Click OK to return to the Main Menu.
