Description
As per the Tax Administrations Act, the Employer must keep records of remuneration, tax deductible deductions and Income Tax reference numbers of their employees for a period of 5 years from the date of submission of their returns. (Reference to the Act Chapter 4 of the Tax Administration Act Paragraph 14(1)) of the 4th Schedule)
It is thus important to keep the documentation and data safe for the prescribed period, in case you need to reference back to the specific year e.g. for resubmissions and audit purposes.
Resolution
- From the Main Menu
- Select Utilities/ Backup
- Select the type of backup:
- Data for This Company – Data Files of the company in which you are currently working in are backed up.
- Data for All Companies – Data Files for all your companies (in your payroll system directory) are backed up.
- Data Files and Programs – All Data and Program Files are backed up, but does not take any of the subfolders into account
- Data Files and Programs (Incl All Sub folders)– All Data and Program Files including all Sub Folders are backed up.(Recommended option after completing Tax Year End or interim Reconciliation Submission)
- Data Files for Selected Companies – Data Files for selected companies are backed up.
- Full System Backup – This backup takes the entire folder with all subfolders and files into account ( Recommended option after completing Tax Year End or Interim Reconciliation Submission)
