Bi-Annuals: How to do a corrective for SDL

Summary

If you have not as yet removed your SDL values before rolling over into the June period in Sage Pastel Payroll, and have done to much processing to allow for restoring, you can do a correction on the SDL value in the next period.

Resolution

CAUTION:  You need to restore to the August Period (for Bi-Annuals) in order to make the changes. If any of the employees are terminated before August you will either need to restore a backup, or reach out to your Business Partner in order to do a datafix.

NOTE: Please ensure that you have ticked your system to be SDL Exempt before doing the correction

You will firstly need to check if you have processed these amounts, by printing a Monthly Analysis:

  1. Click on View
  2. Select Payroll Reports
  3. Select Monthly Analysis
  4. Filter for all your employees
  5. On the next screen filter as per the below:
    1. Select From Transaction as 9150
    2. Select To Transaction as 9150
    3. Select Number of Months as 6 months (if your currently in the August Period, 5 if your in July, 4 if your in June etc.)
    4. Click on Show Details

  6. Click on OK
  7. The report will now print for only 9150 for the employees, make a note of the Total values (ensure that the current period that you are in is Zero):

Now you will have to do the corrections, I would suggest that you do this using the Payslip batch:

  1. Click on Process
  2. Click on Process Batches
  3. Select Batch Transactions
  4. Enter the batch name as Reverse 9150
  5. Click on Settings, check Transaction Code and Override

  6. Click on the first line and then enter the employee code.
  7. Enter the transaction code as 9150
  8. Click on the Override checkbox
  9. Enter the amount you made a note off as a negative
  10. Press enter to select the next employee (you can press F5 to bring up the filter), 9150 and the override check box will be pre-populated, you will just need to enter the negative amount:

  11. Once all the employees have been loaded onto the batch, click on Update Payslip
  12. Click on Yes for the 'Do you want to save your changes' question:

  13. Click on Yes that you want to continue:

  14. Only Select the Update Current Period Only option:

  15. Click OK
  16. Click on Yes you are sure you want to continue
  17. Click on OK.

Reprint the Monthly Analysis to double check to processing:

  1. Click on View
  2. Click on Payroll Reports
  3. Click on Monthly Analysis
  4. Filter for all the employees
  5. On the next screen filter as per the below:

  6. Click on OK
  7. Verify that Your June values are showing a negative of your May values, you will then see that the total is zero:

If you needed to restore a backup to August, any information will need to be recaptured.
