Steps on how to set up Sage VIP Classic and Sage VIP Premier to email PDF payslips and reports.
Description
You can send payslips and reports straight from your payroll system once you set up the one-time PDF Email Setup. To use this feature, your payroll needs Advanced Access or Global Access Control.
Resolution
Prerequisites on mail server settings
Share the following requirements with your IT department or service provider.
- It’s advisable to create an email account dedicated to the sending of payslips
- Activate TLS 1.2 on the computer sending emails
- Activate Legacy TLS on the computer sending emails
- This function only supports Basic Authentication to access the mail server
- This function doesn't support Multi-factor authentication Active Directory AD integration
Complete your PDF Email settings
- From the Company Listing screen, access your payroll company.
- From the Main Menu, go to Payroll, then select PDF E-mail Setup.
- Complete the setup details onscreen:
- Enter the 'From' email address
- Enter the 'Sender Name'
- Enter the 'Reply to' email addresses - employees can submit payslip queries to this address
- Enter the SMTP Server address and SMTP Port
- Enter the SMTP User Name and Password (accounts details to access the mail server)
- Tick 'Use Secure Mail Server' if you're using a third-party mail service, for example, Gmail
- Click Close to return to the Main Menu.

When you run the reports, you'll select to emails the report to the recipient list.
