Summary

How to change an employee’s pay frequency on Sage Pastel Payroll.

Resolution

NOTE: Make a Backup before proceeding and ensure that there are No Processed Employees.

Terminate on the 'old' pay frequency masterfile.

  1. Go to Edit then Employee Masterfile.
  2. Click the Terminate icon. Image
  3. Enter an End Date, Use the end date of the employee’s pay frequency to ensure they’re paid correctly for that period.

    Enter a Reason for termination.
  5. Click OK then click Yes on the confirmation message.

Reinstate on a New masterfile.

  1. Remain on this masterfile.
  2. Click the Reinstate icon Image.
  3. Click Yes on the confirmation message.
  4. Select the 'Reinstate the employee with a new masterfile' option and click OK.
  5. Enter a new employee code.
  6. Enter a new start date (Set the start date to the day after the old masterfile’s termination date).
  7. Click the Payment tab and change the Pay Frequency to the new Frequency.
    • Optional: You can change the Profile for the employee as well: Profile 1000 - for Monthly, Profile 2000 - for Weekly, Profile 3000 - for Fortnightly
  8. Safe the masterfile.
  9. Click Yes to add the mandatory transactions.

TIP: You’ll have to set up your Leave and Payslip again, bringing over the values from the old masterfile.
