How to run a special run as the first run on Sage Pastel Payroll.

Description

In certain cases, an employer needs to produce two payslips in a period.  You can do this in Pastel Payroll by doing a special run.

Resolution

 TIP: Before we do this setup, it important to note the following limitations of the special run: 

  • You can only have one special run in a month
  • You can’t terminate an employee in the special run
  • You can’t process leave in the special run

How to setup and enter the special run as the first run in the month:

  1. Make a backup.
  2. To make the special run the first run of the month, ensure employees have a ‘not processed’ status.
  3. Go to Setup then Pay Frequencies.
  4. Select the month and tick the ‘Special’ box to process the additional payslip.

  5. When you tick ‘Special’, the Special Run Assistant opens and asks if you want it to be the first run of the month. Select the first three options:

  6. Click OK on the Special Run Assistant screen.
  7. Click OK on Setup Pay Frequencies.
  8. The transaction filter will automatically pop up, select which transactions to include in your special run.
    The codes 8001, 8045, 9045 and 9150 are essential. Alternatively, use transaction type shortcuts for common special run entries:

  9.  Move the codes you want to use to the Transactions to Process area on the right:

  10. Click OK.
    You’ll now be in a special run (check the bottom of your screen, Special run will display in brackets next to your pay frequency date)

CAUTION: 

  • You still need to process the income transactions related to the special run
  • Process a payroll run for all the employees to move out of your special run
  • To move out of a special run, you’ll need to do a pay period update into the next pay frequency
  • Reports will consolidate the normal and the special run values
