How to import your live run IRP5 file into SARS e@syFile™ Employer
Description

A live run is the final tax certificate data to import in the SARS e@syFile™ Employer software.

After you imported the file, you can complete your EMP501 declaration and submit all the data to SARS.

This is step 9 of the RSA Submission Utility process. 

Cause
Resolution

1. Import the IRP5 payroll file into SARS e@syFile™ Employer.

  1. Log in to SARS e@syFile™ Employer.
  2. Select the Company.
  3. Select the Period of Recon.
  4. Click Continue.
  5. Click Import Payroll File.

      6. Click SELECT FILE.

      7. Browse to the folder where you saved the IRP5 file, click the file, then click OPEN.

      8. The selected file is ready to import. Click OK to import.

     9. The application verifies all data during the import process.

   10. Click VIEW WARNINGS to view possible data requirement outstanding or if the validation failed.

     11. Click OK to import records.

     12. Once Imported, you can select one of the following options:

    • Import another file (import another IRP5 file
    • View Employees (details of employees imported)
    • EMP501 Declaration (to continue with the reconciliation and submission)
    • Cancel (to return to the main screen)


2. View the Import Payroll File Log.

 NOTE: The details of each file imported in to SARS e@syFile™ Employer saves to the Log.  

  1. Click Utilities.
  2. Click Validation Logs.
  3. Select Log Category:
    • AA88 Imports
    • Payroll Imports (IRP file imports)
    • Pre-Submission (when you submit to SARS)

      4. A list of all imported files display.

      5. Select View or Save to file.


3. Complete and file declaration.

Now that you've successfully imported your file, you can continue with completing your declaration and submit your reconciliation and certificates to SARS.

 NOTE: Assistance on this step is out of scope for Sage Customer Support. Contact SARS, your Business Partner or Tax Practitioner for assistance.  

  1. Within SARS e@syFile™ Employer, access the Reconciliations menu option
  2. Select the submission period
  3. Complete the reconciliation process as the SARS Guide:
    • Accept Data - Synchronise EMP201 data
    • Reinstate ETI - Change ETI values declared 
    • Own Values - Declare with your own values (not available if your claimed ETI)

  1. Review and complete the following details:
    • Employer Information
    • Tax Practitioner Details (if applicable)
    • Financial Particulars (reconcile declared values with certificate values)
    • Declaration (sign of submission)

  1. Click File to submit to SARS.

  1. Review the status of the submission on Reconciliation page.

 TIP: The submission status reflects in the EMP501 Reconciliation Status Dashboard. 

  1. Access the Notification Centre to review any letters or correspondence related to your submission.
