How to add a Transaction Code definition
Description

Transaction Codes allow you to assign 3-digit codes to be used during Batch Entry of information for Earnings, Shifts, Dates, Rates per Hour or analysis fields such as Department, Pay Point, etc.

Before you can use Transaction Codes for Batch Entry, you have to define these codes.

For example:

Certain Time and Attendance Systems make use of $ Batches for Batch Entry and Batch Importing.

Each of the Transaction Codes you plan to use needs to be defined.

Step 1 - Access the Transaction Code Definitions from the Main Menu:

  1. Click on Payroll.
  2. Click on Definitions.
  3. Click on Transaction Codes.
  4. The Transaction Code Screen will be displayed.

Step 2 - Add a Transaction Code defintions:

  1. Click on the first empty line and type a 3-digit Transaction Code, e.g. 107 and press <Enter>.
  2. Type the description for this code, e.g. Standby Allowance and press <Enter>.
  3. The Selection Screen will be displayed.
  4. Click on the Earning or Special Field that you require, e.g. E09 for Standby Allowance.
  5. If methods have been defined, an additional Selection Screen will display for you to select the option you require.
  6. If no method is defined for a selection, the cursor will move to the Update to Fixed or Amount column and to the Accumulate or Override column. Make the necessary selections.
  7. Click on <Save>.

NOTE: If you make use of a Split Ledger (General Ledger module), all 3-digit Transaction Codes should be greater than 500.
